Data Imaging Contract Extensions
Our existing agreements with Datamation and Databank have both been extended for an additional three years, through July 31st, 2029. These vendors offer services that digitize physical records. Due to their differing pricing methodologies and costing, end users that have any large digitization projects are encouraged to contact both vendors for pricing quotes. Both vendors are highly qualified and have completed several large projects across campus.
Iron Mountain Contract Update
As mentioned previously, due to challenges with invoices getting paid in such a decentralized environment, PPS converted shredding services from Iron Mountain to a central bill program. We have nearly finished the conversion and cleaning up of all old, unpaid invoices. PPS may still need to reach out to a few individual departments and schools In order to verify that we have the appropriate chart string on file for each bin, please contact Anthony Murphy if you have any questions.

New Fisher Safety Contact
We have a new Fisher Safety Representative Rep! His name is Felix Yau and he is based in Indianapolis, but will be in the Chicagoland area every week assisting our ORS team with safety initiatives across both campuses.
Guy Brown
Credit Refund for Overcharges: Overcharges of some items purchased between 7/1/25 – 12/31/25 will be credited back to the chartstring used on the corresponding purchase order transaction within the next 30 days. Those who were impacted should have been notified. Contact PPS customer service if you have any questions.
Prices Adjustments: Guy Brown’s wholesale partner, ODP Business Solutions, has announced pricing adjustments across portions of their product portfolio due to ongoing market pressures affecting manufacturers and suppliers. These increases will take effect on July 1, 2026.
To help offset the broader market impact, Guy Brown is conducting a Core/Non‑Core review to identify potential savings opportunities, including shifting more frequently purchased items to the core list.
Temporary Fuel Surcharge: Due to continued volatility in fuel and transportation costs, ODP Business Solutions will implement a temporary fuel surcharge of $4.50 per order, effective June 1, 2026. This surcharge will apply to all individual orders.
To minimize the impact of this temporary surcharge, it is more cost‑effective to place consolidated orders of $150 or more as opposed to several smaller orders Consolidating office supply purchases instead of many small orders will reduce delivery, reduce waste, lower emissions, and improve office operational efficiency.
